So, you’ve committed to be a volunteer for this year's SnowBall – Thanks and welcome aboard!
You may wonder what we need from you? Well, if you are part of a committee, then your committee director will tell you more about your duties for that specific area. But, regardless of your committee (or if you’re not on one) we need people to solicit donations!
We have an excellent silent auction, where people bid on great prizes and generate funds for our beneficiary organizations. We also need many smaller prizes ($25-$100) to use as raffle items for our Casino. If you find a donor who can offer multiples of an item (150 or 300) we can use them for our Black Diamond Gift Bags.
We never refuse a donation, and even if you think the item is too small, we can always bundle it with another item to create a great package deal. Get 2 free ice cream sundaes? Great – we’ll package it with movie tickets or a restaurant gift certificate to create a date night package!
Some examples of items to get you thinking are: Salon gift certificates, restaurant gift certificates, hotel stays, excursions, airfare, cooking lessons, dance lessons, photography packages, handmade jewelry or crafts, beauty items, autographed sports gear, food items, beer for a year, iPods or other electronics, etc. Really, anything you can dream of!
How do I ask for a donation? Just ask! If you are a regular at a restaurant, ask to speak with the manager. If you have a friend who owns a business, ask them to donate something. Donations are tax deductible, and it’s for a great cause! Below is a packet of information to give to people you are soliciting. It includes a solicitation letter with information on our event and why they should donate. Also attached is our 501c3 letter which proves out tax exempt status. Finally, we have a document that outlines our mission and who our beneficiary organizations are this year.
If you want to customize a donation letter, we’ve also attached one that you can use to add in your own contact information and specify the company and type of donation you are hoping to get.
Just remember: when you get a donation, make sure you get all their contact information so we can properly thank them afterward. What we need:
- First and Last name of contact
- Company Name
- Full address
- What they donated
- Value of donation
- Phone number
- Email address, if possible
Please fill out the 2009 Thank You Template Form with this information and send it along to your committee director or the prizes director (prizes@scaboston.org) when you obtain a donation. That way we know what we have secured and we can ensure they receive a thank you letter after the event so they hopefully donate again in future years!
How about volunteering in our casino? As casino dealers, we are the proprietors of fun.
To deal blackjack, you have to like people. As far as skills it's very important to be able to count quickly. Good math skills are a must. A big part of your job as dealer is dealing the game according to the house rules and counting out chips.
There are other casino opportunities, as well.
We have need of Roulette and Craps dealers. Craps is exciting and fast, it often attracts a huge crowd to watch the action. In both of these positions, you'll be working in a team. The games are easy to learn with some of our provided training.
You could also be a banker in our casino. Here you will be handling money and counting out chips for guests playing in the casino.
Be Santa Claus? Every year people come to the SnowBall to have their picture taken with Santa Claus! It is one of our most popular long standing traditions. Do you have what it takes to be Santa for an hour? If so step up and volunteer! Who knows you might even find that special Mrs. Claus.
What else can I do? You can ask your company, your family, a group of friends or sports team to sponsor a holiday tree at our event. It’s a great program (read more about it here Holdiay Tree Program and everyone can help. Simply print the packet below that includes an application and information on the program. Then give it to anyone you think might be interested.
Still more – Tell your friends about the SnowBall! If they can become a volunteer/ambassador, then great! We always need help. Or, if they just want to come to the event and have a great time, they can know that their money is going to a great cause.
We ask that all volunteers sign up for a shift on the night of the event and work one hour – that’s it! Well, that and come to one of the walk-through meetings. The rest of the time you can hang out with your friends, meet new people, and have a blast.
